  • Multimodal notes. The application supports creating text notes, checklists, audio notes, images, videos, and freehand drawings within a single notebook. Each content type is managed in a native format, allowing different modalities to be mixed in one note. Attached files are embedded directly into the note card.
  • Organization with notebooks and tags. The system organizes notes into collections called notebooks. Each notebook functions as a thematic container for related notes.   • Full-text search. The search engine indexes all textual content of notes, including text within images and PDF files using OCR technology. It also searches text in digitized handwritten notes. Results can be filtered by notebook, note type, or modification date for precise localization.
  • Business card scanning. The mobile device's camera can capture physical business cards. Optical character recognition technology automatically extracts contact information such as name, company, phone number, and email address. The data is structured into a new contact note saved in a designated notebook.
  • Audio recording and transcription. The integrated audio recorder captures sound in meetings, lectures, or for quick ideas. Recordings are attached as audio notes. A transcription feature automatically converts speech to text, generating a separate text note synchronized with the audio timeline for review.
  • Shortcut widgets. Widgets for mobile device home screens provide shortcuts to frequent actions. Users can create a new text note, start an audio recording, or capture a photo directly from the widget without opening the main application, streamlining the capture process.
  • Integration with Zoho services. The application connects with other products in the Zoho ecosystem, such as Zoho Mail, Zoho Cliq, and Zoho CRM. Entire emails can be saved as notes from Zoho Mail. Notifications from other applications can be captured and organized within specific notebooks.
  • Password and biometric lock. A security mechanism allows locking individual notebooks or the entire application with a passcode, fingerprint, or facial recognition. Locked content remains encrypted and is only accessible after authentication, protecting sensitive or personal information.
  • Note presentation mode. Converts any note into a full-screen visual presentation. The note's content is displayed in a format optimized for reading, hiding the application's interface elements. It is suitable for sharing ideas on larger screens during meetings or study sessions.
  • Customizable keyboard shortcuts. In desktop versions, users can assign custom key combinations to common actions within the application. This includes creating new items, switching between notebooks, formatting text, or activating search. Shortcuts optimize workflow for users who primarily work with a keyboard.
  • Data export and import. Complete notebooks or individual notes can be exported to standard formats like PDF, HTML, or plain text files. An option also exists to export a backup copy of the entire account. The import function can bring in notes from Evernote formats or .txt files.
  • Smart reminders. Notes and checklist items can have time and date-based reminders. Reminders send push notifications to the device. The Pro version adds location-based reminders, which activate upon entering or leaving a defined geographic area.
  • Voice dictation feature. On compatible devices, voice dictation converts speech to text in real-time within a note field. It does not require prior audio recording. The feature is activated via a microphone button on the virtual keyboard or through voice assistant commands like Siri on iOS.

The development of Zoho Notebook began in 2016 by Zoho Corporation, a software company founded in 1996 by Sridhar Vembu and Tony Thomas. The first public version was released in late 2016. The development team is primarily located in Chennai, India. The program is written in a combination of languages including Java for backend server components, Swift for the native iOS application, Kotlin for Android, and JavaScript with web frameworks for the browser and desktop versions. The database uses proprietary SQL technologies within Zoho's cloud infrastructure.
