  • Content-based automatic renaming. The tool analyzes the internal text of the document and generates a descriptive file name. For example, an invoice might be named "Invoice_2025-03-15_SupplierX". It extracts dates, numbers, and entities directly from the content.
  • Classification by document type (8 specialized models). It integrates eight trained classification models to distinguish between Invoices, Receipts, Purchase Orders, Bank Statements, Signed Agreements (NDAs), Employment Contracts, General Contracts, Delivery Notes, and Shipping Documents. Each file is categorized before being renamed.
  • Offline processing (total privacy). All AI calculations are performed on the local machine. No internet connection or external APIs are required. Files never leave the user's computer.
  • Support for multiple formats. Reads and processes documents in PDF format (with text or scanned), images (JPG, PNG, TIFF), and Microsoft Word files (DOCX). It uses integrated OCR to extract text from scanned documents.
  • Key metadata extraction. Identifies and extracts specific entities such as invoice numbers, issue dates, supplier names, customer data, total amounts, and reference numbers. This metadata can be used in the filename template.
  • Customizable naming templates. Allows you to define fixed name structures using variables. Example: [DocumentType]_[Date]_[InvoiceNumber]_[Client]. Fixed and dynamic fields can be combined.
  • Batch overview (Preview grid). Displays a table with the original name, the proposed name, the detected category, and the model's confidence. The user can review and deselect files before executing the change.
  • Conditional renaming mode. Applies rules like "if the document is a Contract, use template A; if it is an Invoice, use template B". The rules are based on the prior automatic classification.
  • Dynamic folder organization. In addition to renaming, it can move files to subfolders based on their type or date. Example: moves all invoices to an \Invoices\2025\ folder.
  • Error handling and unclassifiable files. If a document does not reach the classification confidence threshold, it is marked in a separate list for manual review, preventing naming errors.

The application began development in 2025 by the LibroGadget team. The core of the program is written in Python and uses machine learning frameworks such as TensorFlow Lite and Transformers for local model execution. The specialized classifiers were trained on a corpus of thousands of anonymized commercial and legal documents.
